Optimal’s Communications Department provides meeting management ,conference planning, and implementation services. As part of these services our staff performs the following tasks:

  • Conference, meeting, or seminar space reservation
  • Arranging and participating in site visits of possible venues
  • Assisting with planning and cost estimation of all event-related expenses including, catering and media (A/V, menu planning, etc.) services
  • Working within assigned budgetary guidelines and tracking and reporting event expenses
  • Event marketing through specialized websites
  • Assisting with registration via online and personal administration services
  • Negotiating contracts for
    • Hotel blocks
    • Transportation
    • Off-site activities
    • Printing
    • Promotional items
    • Special media services
