Conference Planning
Optimal’s Communications Department provides meeting management ,conference planning, and implementation services. As part of these services our staff performs the following tasks:
- Conference, meeting, or seminar space reservation
- Arranging and participating in site visits of possible venues
- Assisting with planning and cost estimation of all event-related expenses including, catering and media (A/V, menu planning, etc.) services
- Working within assigned budgetary guidelines and tracking and reporting event expenses
- Event marketing through specialized websites
- Assisting with registration via online and personal administration services
- Negotiating contracts for
- Hotel blocks
- Transportation
- Off-site activities
- Printing
- Promotional items
- Special media services
